Trip Cancellation Policy

We hope you don't need to cancel, but we understand that circumstances sometimes mean that you cannot attend a trip that you have signed up for.

If you must cancel, please notify the trip captain (TC) and the council in writing or by email as soon as possible. However, you will lose your non-refundable 35€ deposit unless the HISC Council approves an individual exception to policy.

In the email to request a refund because of cancellation, be sure to include:

  • Your name
  • The trip
  • Amount (keep in mind that 35€ is the non-refundable depsit)
  • Reason for the refund

If HISC can fill your place with someone on the waiting list, you will only lose your 35€ deposit. If there is no waiting list, you may recruit a replacement. They must pay the TC in full. You will lose only your 35 deposit.

If you cancel and HISC cannot fill your spot, you will be responsible for any cost incurred by HISC. These might include unused bus and hotel space and any cancellation fees charged by the tour operator up to the full cost of the trip.

Requests for refund of 35€ deposits will only be considered in the following circumstances: 

  1. The cause of the cancellation resulted from an emergency situation, hardship or unforeseen health issue such as an emergency leave condition, short notice deployment, or documented injury or illness, and
  2. HISC did not incur any cost as a result of the cancellation.  

If the cancellation meets both of these conditions an individual may petition in writing (email is sufficient) to the HISC Council for return of their deposit as an exception to policy. Documentation supporting the claim (Emergency leave form, doctor’s statement) should be submitted with the request. The HISC Council will decide on all exception requests by a majority vote.

If you must cancel as a result of your work or TDY, HISC may absorb the cost above the deposit amount. You must present TDY orders or other sufficient documentation to the TC Manager and request a refund (minus deposit).

If you cancel and are due a refund, you must wait until after the trip is completed and the HISC Treasurer caculates the final cost of the trip. Only then can the HISC Treasurer determine the cost of the cancellation.

If the entire trip is cancelled, HISC will provide a full refund, including deposit.
